Land, Buildings & Real Estate (LBRE) is the operational core of Stanford University’s physical campus. Department Introduction:

Mail & Package Services (MPS) is a group within Land, Buildings & Real Estate (LBRE) that is responsible for the mail & package programs for Stanford University students. MPS also manages interdepartmental mail, mail codes, and is working towards creating a centralized mail & package program for the rest of Stanford.

Job Purpose:

The Facility Specialist will oversee daily operations within the Stanford University Newark Warehouse. Core responsibilities include receiving packages from carriers such as UPS, FedEx and Amazon, processing the packages through Stanford’s conveyor belt system, labeling and ensuring timely delivery to the Stanford campus, and answering customer service tickets. This is an on-site role requiring the Facility Specialist to report to the warehouse five days a week.

This position is located at the Stanford University Newark Warehouse in Newark, CA (Alameda County).

Core Duties*:

  • Warehouse Operations:

    • Work with supervisor to coordinate scheduled PMs for the conveyor, vehicles and equipment. Troubleshoot issues with equipment, and call vendor for maintenance and repairs, if needed.

    • Responsible for overseeing the daily cleaning of the conveyor and warehouse space.

    • Notify Facility Managers for any maintenance and repairs needed at the Newark warehouse building.

    • Manage maintenance, materials, and supply budget.

    • Coordinate space management and planning activities including: analyzing moves for minimal disruption; move coordination; space inventory; space allocation tracking; specifying set-ups; maximizing space utilization; providing input into facilities renewal model; and capital plan implementation (as assigned).

  • Staff Management:

    • Work with facility managers to supervise the daily activities of contracted warehouse staff, and oversee activities of delivery drivers and carriers.

    • Work with supervisors to train and create workflows for warehouse contracted personnel.

    • Keep roster of all on-site staff and make sure they all have building access. 

  • Inventory Management:

    • Oversee all Stanford packages at the warehouse, ensuring they are tracked and delivered to the end users or returned to the sender in a timely manner.

    • Utilize tracking software, ensuring that it’s operating daily, and troubleshoot as needed.

  • Process Improvement:

    • Identify opportunities for process enhancements to increase efficiency.

    • Work with Facility Manager to  implement best practices for warehouse operations.

    • Continuously monitor and find opportunities to maintain safety operations.

  • Logistics Coordination:

    • Manage inbound and outbound shipments.

    • Work with suppliers and the Stanford MPS team to ensure accurate and timely deliveries.

  • Safety:

    • Ensure compliance with safety standards.

    • Serve as safety management coordinator by: correcting identified safety issues, performing root cause analysis, identifying and tracking corrective actions; developing and conducting safety training and/or new employee facility orientation; and maintaining and participating in emergency preparedness, recovery and business continuity coordination.

    • Implement and maintain facility security programs by developing procedures/practices, distributing keys, providing building access, monitoring access records, assessing security infrastructure needs (security cameras, interlocks, alarms); and assessing and changing access schedules. Recommend any improvements, as needed.\

Education & Experience:

Knowledge, Skills and Abilities:

  • Strong leadership skills.

  • Excellent organizational and problem-solving abilities.

  • Proficiency in warehouse management software.

  • Ability to coordinate daily activities including work scheduling, quality assurance, program validation, monitoring of maintenance activities, and supervision of personnel.

  • Demonstrated experience working with subcontractors/vendors and demonstrated ability to monitor project activities and ensure compliance with internal/external regulations.

  • Demonstrated experience analyzing and interpreting policies.

  • Knowledge of environmental and safety rules, regulations, and policies. Ability to conduct job site inspections to ensure compliance.

  • Ability to follow written and verbal directions and communicate those instructions to others.

Certifications and Licenses:

Physical Requirements*:

  • Ability to obtain and maintain a California Non-commercial Class C Driver’s License.

  • Ability to drive day or night.

  • Ability to obtain and maintain a forklift certification.

  • Ability to lift/carry/push/pull objects that weigh up to 50 pounds.

  • Capable of standing and walking for extended periods.

Working Conditions:

  • Requires 24-hour response availability seven days per week for emergency situations.

  • May be exposed to noise > 80dB TWA.

  • May working at heights 4 - 10 ft.

  • When conducting university business, must comply with California Vehicle Code and Stanford University driving requirements.

The expected pay range for this position is $90,270 - $96,000 per annum.

The pay offered to a selected candidate will be determined based on factors such as (but not limited to) the scope and responsibilities of the position, the qualifications of the selected candidate, departmental budget availability, internal equity, geographic location and external market pay for comparable jobs.
