Student Services Specialist (Hybrid Opportunity)

The School of Humanities and Sciences (H&S) is the foundation of a liberal arts education at Stanford. The school encompasses 24 departments and 24 interdisciplinary programs. Stanford Department of Economics was one of the founding departments at the University and is a national leader in economics. The department’s central missions are to train students at the undergraduate and graduate levels in the methods and ideas of modern economics, and to conduct both basic and applied research in economics that pushes forward the frontier of knowledge in the field. With 40+ faculty, 4 advanced lecturers, 150+ graduate students and post-doctoral fellows, 200+ undergraduates, and 13 staff, the department is breaking new ground in pioneering research that analyses and proposes solutions to some of the biggest challenges in society today.

 

Seeking Student Services Specialist

 

Stanford Department of Economics is seeking a Student Services Specialist to provide complex administrative and operational support to faculty, staff, and students.  This position will be specifically assigned to the Introductory Economics Center (IEC) which supports the department’s large introductory course and works to support students with testing accommodations in cooperation with the Office of Accessible Education. Reporting to the Student Services Manager, this position is critical to the success of the department's Academic Office.  You will work as part of a team in a fast-paced academic environment, supporting a diverse group of people, and perform a broad range of simultaneous duties with frequently shifting priorities. You will also share in our commitment and investment in maintaining a positive, productive, and inclusive work culture. This person must exhibit the abilities to practice sound judgment and decision-making, effective written and oral communication, strong attention to detail, and respectful relationship management. The successful candidate must also exhibit a strong desire to continuously learn new and unfamiliar business topics, policies, and procedures as they relate to supporting IEC's faculty/students and Economics' Academic Office in general – the ability to translate this knowledge into operational successes will be critical.

This is a 100% FTE, continuing position, non-exempt position. This position will be based on the Stanford campus and will be considered for an option of telecommuting (hybrid of working on-site and off-site), subject to operational need.

 

In this role, you will:

 

·        Core Duties*

o   Review documents and forms for completeness, track files for follow up and distribute for review.

o   Research and resolve routine issues and refer complex issues to other staff.

o   Input data, and update electronic databases, websites, literature, and associated materials. May collect, gather, and validate data, and prepare basic reports.

o   Coordinate logistics for outreach activities, meetings, and events.

o   Respond to routine and urgent inquiries from students, faculty, external constituents, and staff.

o   Serve as a subject matter resource to students and other departments, specifically around the introductory course and accommodation arrangements.

o   Contribute to general office administration and process improvements.

o   May train and direct day-to-day activities of students and temporary workers, including scheduling, assigning, and prioritizing workloads, setting appropriate deadlines, reviewing work for quality and timeliness, and providing performance review input.

 

·        Other Core Duties

o   Oversee and/or perform duties associated with scheduling, organizing, and operating complex conferences, seminars, and events, including arranging with vendors for services, overseeing the production and distribution of materials, administering logistics, and managing events within budget.

o   Compose and draft documents and correspondence for presentations, course handouts, grants, conferences, seminars, and reports; perform substantial editing and fact-checking. Create, maintain, modify, and/or ensure the accuracy of content in various unit documents, displays, reports, brochures, social media, and/or websites.

o   Coordinate logistics of meetings or schedule calendar(s) with limited consultation, resolve calendaring conflicts, and arrange travel in compliance with unit, university, and sponsor policies.

o   Process and monitor routine financial transactions, which may include researching and resolving discrepancies.

o   Work closely with the Undergraduate Student Services Officer to maintain databases, update and answer student questions, and look for process improvements. 

o   Maintain department supplies and equipment, including working with vendors.

 

·        For undergraduate student program

o   Work closely with the Student Services Officer to maintain and update databases, answer student inquiries, and look for process improvements. 

o   Set up teaching assistants' teaching sections and office hours.

o   Gather and post department syllabi.

o   Update and produce informational handouts for students.

o   Assist with commencement activities and attend department diploma ceremony. 

o   Coordinate room scheduling for meetings, events, and exams.

o   Assist with maintaining general information on the website. 

o   Place orders for course readers. 

o   Assist with departmental student activities and events.

MINIMUM REQUIREMENTS

 

Education and Experience:

High school diploma and three years of administrative experience, or combination of education and relevant experience.

 

Knowledge, Skills and Abilities:

·        Proficient computer skills and demonstrated experience with office software and email applications.

·        Demonstrated success in following through and completing routine tasks.

·        Strong organizational skills and attention to details.

·        Strong verbal and written communications skills.

·        Excellent customer service and interpersonal skills.

·        Ability to prioritize and multi-task.

Physical Requirements:

  • Constantly perform desk-based computer tasks.
  • Frequently sitting.
  • Occasionally stand/walk, reach/work above shoulders, grasp lightly/fine manipulation, grasp forcefully, use a telephone, sort/file paperwork or parts, lift/carry/push/pull objects that weigh up to 10 pounds.
  • Rarely twist/bend/stoop/squat, kneel/crawl.

 

The expected pay range for this position is $22.88 to $36.54 per hour.
