The School of Humanities and Sciences (H&S) is the foundation of a liberal arts education at Stanford. The school encompasses 24 departments and 24 interdisciplinary programs. H&S is home to fundamental and applied research, where free, open, and critical inquiry is pursued across disciplines. Department/Program Description: The mission of the Stanford Chemistry Department is to deliver excellence in education and research by attracting the very best faculty and students.  The Department serves 26 faculty members, 5 lecturers, ~90-100 postdocs, ~250-300 PhD students, ~10 research staff, and 30 administrative staff, with an annual consolidated budget of approximately $30 million. The Department facilities consist of over 300,000 square feet of research, classroom and administrative space spread over 6 buildings.

 

Position Summary: Stanford University seeks a Student Services Officer 1 for the Chemistry Department.  This is an ideal role for a student services professional who is looking to further develop and expand their capabilities within a supportive environment.  Among other things, this individual will be responsible for administering appointments for Postdoctoral Scholars and working closely with the Office of Postdoctoral Affairs at Stanford.  Administration of postdoctoral appointments includes advising scholars on topics, such as, J and H visa support, funding, health insurance, housing, and student life.  A significant component of this role includes processing financial information for approximately ~240 Graduate Students and ~80 Postdoctoral Scholars using the Stanford Humanities and Sciences financial systems, GFPS and GFS.  Attention to detail is critical when processing financial entries for stipend, salary, and tuition payments and a key attribute for the successful candidate.  

 

This role requires strong interpersonal skills and comfort communicating with students, staff, and faculty to provide policy information on a wide array of issues, primarily related to Postdoctoral Scholar and Graduate Student funding. This role supports the academic mission by updating the Stanford Bulletin.  This role also works closely with departmental faculty in administering the summer undergraduate research program from budgeting and promotion to application processing and program execution.  The successful candidate must demonstrate the ability to complete work independently and interact with a wide array of customers.

 

This is a 100% FTE, continuing, exempt position. This position will be based on the Stanford campus and will be considered for an option of telecommuting (hybrid of working on-site and off-site), subject to operational need.

CORE DUTIES:

●      Oversee, review and administer student records by analyzing data, counseling students and providing recommendations that require interpretation and influence decisions. Make exceptions on issues of eligibility, course enrollment and program requirements.

●      Develop recommendations and collaborate with staff, faculty and other offices to resolve programmatic issues within the school and across functional units, (such as strategizing to ensure optimal enrollment).

●      Provide advice to students on a range of issues, including, but not limited to, academic progress, academic program policies, career plans, accessibility, community standards, etc., to guide them in making appropriate choices and decisions.

●      Apprise students of research, fellowship and scholarship opportunities. Participate in related student recruitment and selection.

●      Provide first line response to identify students in crisis and refer to appropriate resources, as needed.

●      Collect and analyze data from multiple sources including student feedback, surveys, trend reports, and data analytics. Prepare and summarize reports and make recommendations to enhance offerings, such as programs and courses and to influence current processes and policies.

●      Develop, analyze, influence and review, policies, processes and programs by incorporating feedback and trend data learned from first-line interactions with students. Advise manager and team on policy updates and provide recommendation for implementation of changes.

●      Identify trends, perform needs analysis, and participate in the implementation and testing of new technology.

●      May develop marketing materials and strategies for program activities and outreach functions. Assist in planning and developing webinars, education fairs and other external functions.

●      May provide oversight with the administration of financial processes such as financial reimbursements, data entry, reviewing terms and conditions regarding contracts, understanding vendor requirements, and following up and resolving issues.

●      May train and supervise other staff, volunteers, student and temporary workers.

EDUCATION AND EXPERIENCE:

      Bachelor’s degree and two years of relevant experience, or combination of education and relevant experience.

 

KNOWLEDGE, SKILLS, AND ABILITIES:

      Strong written and verbal communication skills.

      Basic computer skills, including experience with Microsoft Office Suite.

      Basic analysis and problem solving skills.

      Customer service skills.

      Relevant computer systems/technology experience.

      Understanding of financial transactions.

      Ability to learn and understand compliance with legal, financial, and university policies and external regulations.

 

PHYSICAL REQUIREMENTS*:

      Frequently sit, perform desk-based computer tasks.

      Occasionally stand, walk, twist, use fine manipulation, grasp, use a telephone, write by hand, sort and file paperwork, lift, carry, push, and pull objects that weigh up to 10 pounds.

The expected pay range for this position is $77,397 to $87,253 per annum.

The pay offered to a selected candidate will be determined based on factors such as (but not limited to) the scope and responsibilities of the position, the qualifications of the selected candidate, departmental budget availability, internal equity, geographic location and external market pay for comparable jobs.
