Department Introduction: The LBREHR team provides Human Resources advice, information, and training in support of LBRE’s mission. We are directly responsible for the management of staff-related issues, programs and processes for exempt, non-exempt, bargaining unit, and all other employees in the organization.
Job Purpose: Use critical thinking and independent judgment to provide guidance and consultation for employees and managers on general and fundamental HR issues. Make recommendations for successful implementation of and advise and interpret HR policies, practices, and processes. Facilitate HR programming for school/unit. May provide guidance and mentorship to junior HR team members. This position is 60% operational and 40% consultative.
Core Duties*:
Operations:
Manages the submission and tracking of HR transactions. Partners with HR Operations to ensure that transactions are processed accurately and in a timely manner.
Manages the drafting of all employee correspondence letters.
Acts as the HR department Time and Leave Administrator (TLA). Trains new TLA’s.
Supports the LBRE TLAs by reviewing and approving all pay adjustment requests that are submitted to HR.
Develops and maintains monthly reports that are distributed to various departments, such as: HR, Finance, Operations, IT, and Safety.
Addresses any ad hoc report requests that are submitted to the HR department. Evaluates the business need for the request and develops the report when determined to be needed.
Responsible for ensuring that the department is compliant in the following areas: Workers comp claims, I-9s, SU-Patent Agreements, Drivers Authorization forms, and Random Drug testing.
Maintain and update virtual personnel files.
Process HR department purchases, orders, and reimbursements.
Workers Compensation:
Supplies appropriate documentation to employees when they request information about various types of leaves and connects employees with Disability Leave Services (DLS).
Tracks Workers Comp claims and ensures that the department is compliant.
Submits documentation to appropriate stakeholders.
Follow-up with managers and employees, as needed.
Recruitment:
Reviews all job descriptions for accuracy and salary ranges before they are posted. Ensures there is cohesiveness between postings and only necessary and compliant information is provided.
Manages the job postings including posting on LinkedIn and Handshake, when needed.
Conducts applicant screenings.
Initiates all background checks and reference checks via third party vendors. Conducts reference check. Partners with ELR and HRM to adjudicate flagged background checks. Responsible for communicating delays and updates to the hiring manager and applicants.
Responsible for scheduling interviews when the support is needed.
Supports hiring managers through the process of hiring temporary employees.
Responsible for supporting the department with the recruitment of student and temporary hires.
Onboarding:
Facilitation of the LBRE New Employee Orientation program, hosted bi-monthly and in-person.
Manages the onboarding procedures of weekly new hires. Ensures that all benefits eligible new hires attend the Welcome Center and Benefits Orientations. Meets with each new hire to review I-9 documentation, Axess timecards, STARS training, etc.
Acts as the first point of contact for new hires and hiring managers.
Manages the submission and tracking of all new hire-related transactions.
Responsible for drafting all offer letters and distributing them to the hiring manager and/or new hire.
Offboarding:
Provides all required documentation to the transitioning employee and manager.
Ensure timecards and transactions are closed out in a timely manner.
Supports HR Managers by setting up, attending exit interviews and taking detailed notes.
Additional Duties:
Support the process for H1-B visa and obtaining permanent residency for certain staff positions.
Coordinate team outings and engagement activities. Adhering to the budget provided.
Responsible for being a first point of contact for employees. Answer questions related to the Administrative Guide Memo, the Collective Bargaining Agreement, time and leave policies, benefits, etc.
Responsible for providing improvements to human resources processes and programs.
Acts on behalf of HR managers in their absence. Assists by answering questions, ensuring offers are being distributed in a timely manner, etc.
Assists with performance evaluation process and troubleshoots issues with the performance evaluation system, currently Grow and Perform at Stanford (GPS). May assists with salary planning process. Gathers data and generates reports as needed. Brings possible salary inequities to the attention of the HRMs
Maintain consistency with and support UHR and Stanford policies, procedures and requirements, and applicable local, state, and federal laws.
Facilitate initiatives to foster an inclusive workplace culture where all employees feel valued, respected, and empowered.

Education & Experience:
Bachelor’s Degree and 4 years of relevant human resources experience or combination of education and relevant experience.

Strong HCM/ATS experience and proficiency with business applications, Microsoft Office suite, Google suite, etc.
Knowledge and demonstrated experience in at least two human resources areas, including: employee relations, employment and labor law, compensation, staffing and employment, training and development, performance coaching and management, and organizational development.
Demonstrated ability to manage sensitive issues with professionalism, confidentiality, and care.
Bilingual skills in Spanish preferred.
Certifications and Licenses: SHRM-CP / PHR preferred.
Physical Requirements*:
Frequently stand/walk, sit, perform desk-based computer tasks, and use a telephone.
Occasionally write by hand, twist/bend/stoop/squat, reach/work above shoulders, grasp lightly/fine manipulation, grasp forcefully, lift/carry/push/pull objects that weigh up to 10 pounds, sort/file paperwork.
Rarely kneel/crawl, operate foot and/or hand controls.

The expected pay range for this position is $88,222 to $103,791 per annum. Stanford University provides pay ranges representing its good faith estimate of what the university reasonably expects to pay for a position. The pay offered to a selected candidate will be determined based on factors such as (but not limited to) the scope and responsibilities of the position, the qualifications of the selected candidate, departmental budget availability, internal equity, geographic location and external market pay for comparable jobs.
