JOB PURPOSE:

BACKGROUND
Knight-Hennessy Scholars (KHS) is a multidisciplinary, multicultural graduate fellowship program spanning all seven schools at Stanford University. Each Knight-Hennessy scholar receives up to three years of financial support to pursue graduate studies at Stanford while engaging in experiences that prepare them to be visionary, courageous, and collaborative leaders who address complex challenges facing the world.

Knight-Hennessy scholars develop deep domain expertise in their Stanford graduate program, and build on this domain expertise through exposure to a wide range of disciplines and cultures within the Knight-Hennessy Scholars (KHS) community. Scholars participate in the King Global Leadership Program (KGLP), which includes workshops, lectures, projects, and experiences that strengthen transformational leadership capabilities. Through KGLP, scholars collaborate and prepare to address important challenges and opportunities facing the world, such as climate change, healthcare, government and policy, and education.

JOB PURPOSE
The Program Coordinator will work with the Knight-Hennessy Scholars team to assist in the planning and execution of programs and events, such as orientations, seminars, workshops, lectures, retreats, travel-study trips, and alumni events.  Reporting to the Program Manager, the Program Coordinator’s responsibilities include calendaring programs and Stanford academic notifications, filing documents per program and project, maintaining detailed spreadsheets for tracking project logistics,  onsite event coordination including registration/ attendee tracking and vendor coordination, presentation and materials support, and pre- and post-event evaluations. 

The ideal candidate is a creative problem-solver, and an enthusiastic team player with experience in events, and is committed to providing a meaningful program experience to a community of over 400 Knight-Hennessy scholars. The ideal candidate will also exhibit strong communication skills, intellectual curiosity, solid judgment, and the ability to manage both complex and simple projects simultaneously with excellence.

CORE DUTIES:

  • Denning House and team suite greeter. This role will be responsible to greet  scholars and guests alike as they visit the team suite, and or Denning House.
  • Understand and communicate the features, benefits, and advantages of the King Global Leadership Program (KGLP) to the current KH scholars, prospects and visitors.
  • Provide administrative support to the Program team. This will include calendaring meetings, events, arranging university service orders, and or submitting financial transactions to the University system on behalf of the Program team. This may also include printing program materials and name tags.
  • Gather, organize and analyze event details from the team, our university service partners and scholars. Deliver said details to the Program team in a timely manner, directing the team’s attention to time sensitive or unexpected matters. This can include managing the Program team email inbox, responding and or delegating as needed. This can also include filing and organizing event and project details from varied sources.  
  • Consult with the KHS team involved in program events  to determine program objectives and requirements. Execute a plan to meet the program objectives. Track program progress against goals and schedule.
  • Consult with the KHS Team to create program and event collateral and purchase program supplies and materials if needed. Coordinate with vendors to ensure timely delivery of program elements. This may include ordering food, beverage and or office supplies for scholars' study areas at Denning House.
  • Evaluate and select vendors and providers of services considering requests and requirements
  • May draft and sometimes coordinate communication for various constituencies (scholars, alum, community, and campus partners)
  • Utilize and/or maintain databases. Use event planning software to post event information and track RSVPs.

    

MINIMUM REQUIREMENTS:
Education & Experience: Bachelor’s degree and one year of relevant experience or a combination of education and relevant experience.

Knowledge, Skills and Abilities:

  • Strong verbal and oral communication skills.
  • Highly organized. Excellent project management skills, and the ability to manage complex timelines and multiple projects.
  • Excellent interpersonal, communication, time management, and customer service skills. Must be well organized and detail oriented.
  • Analytical and problem solving skills.
  • Ability to meet expected deadlines and schedules.
  • Team player. Ability to work both independently and as part of a team.
  • Exceptional customer service skills with the ability to cultivate partnerships.
  • Demonstrated high level of confidence in making strategic decisions, good judgment, and innovative and creative problem-solving skills.

Certifications and Licenses:

  • Valid Non-Commercial Class California Driver’s License.

PHYSICAL REQUIREMENTS*:

  • Constantly perform desk-based computer tasks.
  • Frequently stand/walk, sit, use a telephone, grasp lightly/fine manipulation, speaking.
  • Occasionally grasp forcefully, writing by hand.
  • Rarely sort/file physical papers and files.
  • Occasionally kneel/crawl, twist/bend/stoop/squat, grasp lightly/fine manipulation, and grasp forcefully, lift/carry/push/pull objects that weigh 21-40 pounds.

WORKING CONDITIONS:

  • Occasional work on evenings and weekends.
  • Work onsite at Stanford’s campus five days per week. Flexible schedule to mirror program schedule.

The expected pay range for this position is $36.54 to $49.04 per hour.
