SCHOOL/UNIT DESCRIPTION:
The Center for Democracy, Development and the Rule of Law (CDDRL), at Stanford University is an interdisciplinary center for research on development in all of its dimensions. CDDRL bridges the worlds of scholarship and practice to understand and foster the conditions for effective representative governance, promote balanced and sustainable economic growth, and establish the rule of law. Our faculty, researchers, and students analyze the ways in which democracy and development are challenged by authoritarian resurgence, misinformation, and the perils of a changing climate.

POSITION SUMMARY:
CDDRL is seeking a full-time skilled events professional to join our team! The Events Manager will be responsible for planning and executing ongoing and frequent center events, including multi-day academic conferences on campus, invitation-only events/lectures/receptions, weekly research seminars, and co-sponsored interdepartmental events/seminars/lectures (in-person, hybrid, and virtual). Additionally, this role will plan and execute large, high-profile special events with international dignitaries, visiting scholars, donors, alumni, and public and government officials—dinners, lectures, and receptions. Under the direction of the Communications Manager, The Events Manager will independently plan and manage event budgets and logistics, including venue research, selection and booking, contract approvals, catering, and A/V vendor procurement, develop and manage event websites, registration and attendee tracking, and pre- and post-event evaluations. This role will also lead and provide on-site event support and envision and produce event-related collateral material.

The Events Manager will also support the operations of one of the center’s flagship leadership programs, the Fisher Family Summer Fellows Program, which brings 26-28 global leaders to Stanford each summer for a three-week intensive academic training program.
Successful candidates will have excellent organizational skills, including attention to detail and the ability to multitask, time management skills, and the ability to prioritize a large volume of tasks. They are self-motivated, enthusiastic, and willing to learn new technology. Strong interpersonal skills will be of value, as will experience building and maintaining relationships with a diverse network of individuals and organizations. 

This position will be based on Stanford’s main campus and will be hybrid (3 days per week), subject to operational need. Employees must be available to come into the office for special events outside of their regular hybrid schedule.

CORE DUTIES:

  • Design, plan, implement, and coordinate customized events.
  • Evaluate and select vendors and providers of services considering stakeholder requests and requirements.
  • Serve as a member of an events team, and contribute in a wide variety of functional areas including decisions around budget allocation, event logistics and facilities.
  • Consult with stakeholders to determine objectives and requirements.
  • Inspect event facilities to ensure they conform to the event needs.
  • Manage accounting operations relating to registration, including daily accounting procedures and reports, final monetary summaries, and/or account transfers.
  • May serve as project leader on smaller scale events, coordinating teams that plan, implement, and manage all aspects of events or manage program elements of larger scale events.
  • Utilize and/or maintain complex databases. May use specialized event planning software.
  • May inspect event facilities for maintenance, janitorial and fire safety issues.

MINIMUM REQUIREMENTS:
Education & Experience:
Associate degree and three years of relevant experience or combination of education and relevant experience.

Knowledge, Skills and Abilities:

  • Demonstrated success planning events.
  • Ability to work both independently and as part of a team.
  • Ability to establish priorities, manage shifting priorities, and handle numerous time-sensitive projects with multiple deadlines.
  • Demonstrated creativity, problem-solving skills, taking initiative, judgment, and decision-making skills.
  • Ability to accomplish goals working through formal and informal channels, with diplomacy and tactfulness.
  • Excellent interpersonal, communication, time management, and customer service skills. Must be well-organized and detail-oriented.
  • Knowledge of Microsoft Office suite and other online documents, such as Google Docs.
  • Ability to interact and successfully collaborate with a broad spectrum of contributing groups and customers.

Certifications and Licenses:

  • Must possess and maintain a valid California non-commercial Class C Driver’s License

PHYSICAL REQUIREMENTS*:

  • Frequently stand/walk, sit, perform desk-based computer tasks, and use a telephone.
  • Occasionally kneel/crawl, twist/bend/stoop/squat, grasp lightly/fine manipulation, and grasp forcefully, lift/carry/push/pull objects that weigh 21-40 pounds.
  • Ability to drive day or night

For On-site or Hybrid positions:

The expected pay range for this position is $68,848 to $84,290 per annum.

The pay offered to a selected candidate will be determined based on a wide range of factors that are unique to each candidate including but not limited to geographic location, knowledge, skills and abilities, relevant education, depth and breadth of experience, performance; as well as other business and organization needs such as (but not limited to) the scope and responsibilities of the position, the minimum qualifications, departmental budget availability, and market and internal equity across the unit, department and reporting relationships.
