SCHOOL/UNIT DESCRIPTION:

The Stanford Center on China's Economy and Institutions (SCCEI) is a joint effort of the Freeman Spogli Institute for International Studies (FSI) and the Stanford Institute for Economic Policy Research (SIEPR).  FSI is Stanford University's primary interdisciplinary research and teaching institute on international policy and international affairs.  SIEPR is Stanford University’s home for understanding the economic challenges, opportunities, and policies affecting people in the United States and around the world.

SCCEI is Stanford’s home for empirical, multidisciplinary research on China’s economy. We focus on empirical work to bridge the divide between academic research and the real-life policies guiding US-China relations, create transformative student experiences, and advance public understanding of China’s economy and its impact on the world.

This is a 100% FTE, benefit-eligible, two-year fixed term with possibility for renewal position. This position will be based on Stanford’s main campus and will be considered for an option of hybrid work arrangement, subject to operational need.  For consideration, please submit your résumé and a one-page cover letter with your online application.

 

POSITION SUMMARY:

SCCEI is looking for a creative, motivated Event Manager interested in joining our team.  We are a fast-paced center looking for an Event Manager ready to support all operational needs of our events agenda aimed at increasing SCCEI’s profile and impact across that Stanford community, academia, private sector, and beyond.

The Event Manager is a critical role that requires a proactive, organized, and collaborative professional with exceptional attention to detail and strong problem-solving skills who can partner with a diverse range of stakeholders.  The Event Manager will be expected to oversee the planning and execution of high-quality events ranging from large in-person conferences, invitation-only events, ongoing research seminars, domestic and international co-sponsored events, creating and maintaining the strategic annual events calendar and leading all event planning and execution.  This includes but is not limited to venue selection, speaker management, registration and attendee tracking, event scoping, on-site assignments, managing budgets, vendors, and partnering with the Communications Manager on press/media and marketing collateral for all events. Knowledge of China and the culture is a plus, but not required.
This position is a two-year (2) fixed-term appointment, with possibility of renewal based on continued funding and programmatic need, with a primary work site on Stanford University’s beautiful main campus in historic Encina Hall.  Hybrid work schedule (telecommuting and on site) will be considered, subject to operational needs.

 

CORE DUTIES:

  • Initiate and lead meetings with stakeholders to plan scope and format of events, establish and monitor budgets, and/or review administrative procedures and event progress.
  • Serve as project leader on specific events, coordinating teams that plan, implement, and manage all aspects of events such as: marketing, vendors, fan experience, ticket office, concessions, press and/or media.
  • Responsible for budget planning and management, venue management and equipment and facilities management for specific events.
  • Oversee development of registration strategy and logistics.
  • Build and maintain relationships with internal and external partners.
  • Procure and coordinate vendor services. Negotiate vendor contracts to minimize liability and risks.
  • Research and provide recommendations for potential event locations and evaluate alternatives.
  • Investigate, document and report complaints regarding all aspects of events including customer service, crowd control and staff issues.
  • May inspect event facilities for maintenance, janitorial and fire safety issues, ensuring enforcement of Environmental Health and Safety and other facility regulations. Arrange for correction if issues are found.
  • Communicate with visiting entities such as vendors, teams, coaches and officials for assigned events.
  • Train and supervise junior event planners in proper execution and implementation of events.
  • May oversee support staff, students, and contingent event staff.

 

MINIMUM REQUIREMENTS:

Education & Experience:

Bachelor’s degree and three years of relevant experience or combination of education and relevant experience.

Knowledge, Skills and Abilities:

  • Demonstrated success managing event teams and planning, developing budgets, and meeting budget goals.
  • Excellent project management skills, and the ability to manage complex timelines and multiple projects.
  • Ability to work both independently and as part of a team.
  • Excellent interpersonal, communication, time management, and customer service skills. Must be well organized and detailed oriented.
  • Exceptional customer service skills with the ability to cultivate partnerships.
  • Demonstrated high level of confidence in making strategic decisions, good judgment, and innovative and creative problem-solving skills.
  • Knowledge of Microsoft Office suite and knowledge of cloud applications such as Google Docs and Forms.
  • Ability to interact and successfully collaborate with a broad spectrum of contributing groups and customers.
  • Knowledge of coordinating events, both in-person and virtual
  • Strong Zoom Webinar and Meeting technical skills
  • Ability to prioritize and manage complex timelines and multiple projects
  • Demonstrated written and oral communication skills.
  • Excellent computer skills (MS Office, database management, online searches, Slack, Zoom, Google Drive, Smartsheet)
  • Cultural sensitivity or desire and willingness to learn about Chinese culture
  • Flexibility and ability to work occasional evenings and weekends
  • Fluency in written and verbal English required; Mandarin a plus, but not required
  • Experience editing web content using Drupal a plus, but not required 
  • Graphic design experience and ability to design event collateral such as ads, flyers, web banners, and more is a plus, but not required
  • Knowledge of social media marketing tactics a plus, but not required

 

PHYSICAL REQUIREMENTS*:

  • Constantly perform desk-based computer tasks.
  • Frequently stand/walk, sit, use a telephone, grasp lightly/fine manipulation, speaking.
  • Occasionally grasp forcefully, writing by hand.
  • Rarely lift/carry/push/pull objects that weigh 11-20 pounds.
  • Rarely sort/file paperwork.
  • Ability to obtain and maintain a California Non-commercial Class license and drive day or night.

WORKING CONDITIONS:

  • Able to work on evenings and weekends, as needed.
  • Occasional domestic and/or international travel.

For On-site or Hybrid positions:

The expected pay range for this position is $82,650 to $98,614 per annum.

Stanford University provides pay ranges representing its good faith estimate of the salary or hourly wage the university reasonably expects to pay for a position upon hire. The pay offered to a selected candidate will be determined based on a wide range of factors that are unique to each candidate including but not limited to geographic location, knowledge, skills and abilities, relevant education, depth and breadth of experience, performance; as well as other business and organization needs such as (but not limited to) the scope and responsibilities of the position, the minimum qualifications, departmental budget availability, and market and internal equity across the unit, department and reporting relationships.
