The central Dean of Research team supports and interacts regularly with the Office of the Vice Provost and Dean of Research and provides development staffing for Stanford’s independent research institutes and centers. Stanford University’s Office of Development (OOD) is seeking a Development Coordinator for the central Dean of Research development team. Reporting to the Associate Director of Development, the Development Coordinator will provide administrative support for fundraising programs and activities for the Stanford Institute for Human-Centered Artificial Intelligence (HAI), Stanford Data Science (SDS), and Stanford Center on Longevity.

Your primary responsibilities include:

  • Administrative Management 
               ○    Planning and scheduling complex calendars and resolving calendar conflicts with limited or no consultation.
               ○    Preparing agendas, taking meeting minutes, booking conference rooms, providing or arranging for AV setup, and tracking on post-meeting follow up as needed.
               ○    Verifying and processing financial reimbursements for the team.
  • Portfolio/Donor Management 
               ○    Coordinating meetings with donors including scheduling, reservations or catering, parking arrangements, and day-of setup.
               ○    Gathering, reviewing, and updating information about prospects, donors, and gifts; requesting assignments, and generating reports using the university external relations databases. 
               ○    Translating updates via email or in meetings relating to donors moving through the gift cycle and updating the relevant CARD modules, gift information, or stewardship implications.
  • Event Support 
               ○    Supporting gift officers in the planning, implementation, and coordination of events at various levels. Could include reviewing/tracking lists of attendees, coordination of event planning meetings, taking notes, scheduling meetings with faculty members, catering arrangements, restaurant reservations, and on-site support such as equipment set up and table arrangements.
  • Special Projects 
               ○    Coordinating travel for gift officers as needed for donor visits and/or conference attendance.
               ○    Other duties and projects as assigned.

To be successful in this position, you will bring:

  • Bachelor's degree and one year relevant experience or a combination of education and relevant experience.
  • The ability to work efficiently, multitask, prioritize quickly, meet deadlines, and achieve goals using an exceptional attention to details.
  • Excellent interpersonal and communication skills and ability to interact with a wide range of people. 
  • A growth-based mindset, openness to feedback, and desire to take leadership and growth opportunities for professional development. 
  • A demonstrated ability with Microsoft Office suite, especially Outlook, Word and Excel or the ability to quickly learn the suite through courses and online videos. 
  • Knowledge of database systems, for example Microsoft Access, Raiser’s Edge, Salesforce, or the ability to quickly grasp new computer databases.
  • A commitment to promoting and supporting an environment of diversity and inclusion.

PHYSICAL REQUIREMENTS:

  • Frequently perform desk-based computer tasks, sit, and use a telephone, stand/walk.
  • Occasionally light/fine grasping, lift/carry/push/pull objects that weigh up to 10 pounds, writing by hand.

WORKING CONDITIONS:

  • May require working flexible hours, including nights and weekends. Regular travel may be required.

The expected pay range for this position is $35.10 – $43.75 per hour.

The pay offered to a selected candidate will be determined based on a wide range of factors that are unique to each candidate including but not limited to geographic location, knowledge, skills and abilities, relevant education, depth and breadth of experience, performance; as well as other business and organization needs such as (but not limited to) the scope and responsibilities of the position, the minimum qualifications, departmental budget availability, and market and internal equity across the unit, department and reporting relationships.
