Stanford’s Online High School is an accredited, diploma-offering, highly selective independent high school, offering courses for grades 7-12. The mission of Stanford Online High School (OHS) is to foster a worldwide community of intellectually adventurous students and teachers. Our courses, created and taught by specialists in their academic fields, encourage students to continuously develop and test their own views as they integrate knowledge across disciplines. Small class sizes and synchronous class meetings populated by curious and engaged classmates and teachers make learning a meaningful and social experience. Students form close bonds with each other and with the school community through classes, clubs, meetups, and other school activities, all supported by caring educators. Our school brings together students with diverse backgrounds from across the world.

Stanford Online High School is also the home of Stanford Pre-Collegiate Studies (SPCS), which provides a diverse array of academic enrichment programs that take place mainly in the summer but also throughout the academic year. Held primarily online, SPCS programs serve intellectually curious pre-college students from around the world.

The Business Operations Administrator will provide extensive administrative and operational support—with minimal supervision—for the business functions of the school, including purchasing, travel, reimbursement, and scheduling. Reporting to the Associate Director of Business Operations, you will contribute to the overall success of the school by establishing priorities and identifying and resolving administrative problems. You will manage and delegate administrative requests from other OHS offices and OHS instructors, and will handle complex travel reimbursements and financial transactions. As part of our friendly and collaborative team, you will also take the lead on proactively identifying business needs, researching and choosing solutions, analyzing historical financial and business trends, and examining current business practices to suggest improvements and opportunities.

Stanford Online High School and Stanford Pre-Collegiate Studies offices are located at the Stanford Redwood City Campus, however this position is eligible for hybrid work arrangement upon mutual agreement.

Your responsibilities include: 

  • Oversee and/or process a variety of financial transactions for purchases, travel, and reimbursement; produce, monitor, and reconcile budget statements; research, identify, and resolve discrepancies. 
  • Independently support OHS instructors and staff members with complex travel arrangements in accordance with unit and University policies.
  • Assist students and their families on behalf of OHS divisions and teams by identifying and resolving their needs for purchase or reimbursement support.
  • Initiate purchase requisitions and contract requests in support of new and renewing school services and initiatives.
  • Provide administrative support and gift processing assistance for the OHS Annual Fund, the school’s primary fundraising effort.
  • Work with vendors for services; oversee the production and distribution of materials; administer logistics and school event planning for Graduation weekend, Homecoming, Pixel Festival, and more in collaboration with respective units in the school and its outreach programs.
  • Communicate and clarify business, finance, travel, and reimbursement policies, both in reply to queries and proactively as policies are updated. Compose school-wide communications and reminders in support of the Business Office and other departments at OHS.
  • Produce reports on school and unit purchases to identify opportunities for efficiency, analyze trends, and support planning for future programs and spending initiatives.
  • Plan and schedule calendar(s) for school events with limited consultation and resolve calendaring conflicts.
  • Ensure compliance of business transactions with unit, University, and sponsor policies.
  • Create complex reports and spreadsheets on business transactions which may utilize specialized software and systems.

  • High school diploma and four years of administrative experience, or combination of education and relevant experience.
  • Advanced computer skills and demonstrated experience with office software and email applications.

  • Ability to prioritize, multi-task, and assign work to others.

Physical Requirements & Work Standards:

  • Constantly perform desk-based computer tasks.
  • Frequently sitting.
  • Occasionally stand/walk, reach/work above shoulders, grasp lightly/fine manipulation, grasp forcefully, use a telephone, sort/file paperwork or parts, lift/carry/push/pull objects that weigh up to 10 pounds.
  • Rarely twist/bend/stoop/squat, kneel/crawl.
  • Interpersonal Skills: Demonstrates the ability to work well with Stanford colleagues and clients and with external organizations.
  • Promote Culture of Safety: Demonstrates commitment to personal responsibility and value for safety; communicates safety concerns; uses and promotes safe behaviors based on training and lessons learned.

The expected pay range for this position is $39.46 - $44.30 per hour. Stanford University provides pay ranges representing its good faith estimate of what the university reasonably expects to pay for a position. The pay offered to a selected candidate will be determined based on factors such as (but not limited to) the scope and responsibilities of the position, the qualifications of the selected candidate, departmental budget availability, internal equity, geographic location, and external market pay for comparable jobs.
