SCHOOL/UNIT DESCRIPTION: The Stanford Vice Provost and Dean of Research (VPDoR) office advances, nurtures and safeguards Stanford’s research ecosystem. It recommends and promulgates new research policies and oversees implementation. VPDoR also provides financial and operational oversight for independent academic units and research support offices. POSITION SUMMARY: The Assistant Director of Facilities will support the Senior Director of IT & Facilities in managing facilities, space planning, safety, and capital projects across the Vice Provost and Dean of Research (DoR) and its affiliated units. This role will partner with DoR leadership, Lands, Buildings and Real Estate (LBRE), Environmental Health & Safety (EH&S), and unit directors to develop a strong culture of safety, ensure effective space utilization, and implement facilities projects that align with university guidelines and strategic priorities. The incumbent will oversee projects ranging from $10K to $250K or more, manage space inventory, and assist in capital planning efforts, with approximately 35% of their responsibilities dedicated to laboratory safety initiatives and coordination with EH&S.
The Assistant Director will perform the full range of the project management cycle for small to mid-sized facilities projects, renovations, and lab upgrades. They will help develop action plans, estimate resource requirements, and coordinate schedules, budgets, and contractors to ensure timely, compliant, and cost-effective delivery. The position will also facilitate discussions among stakeholders, contribute to change management and communication strategies, and recommend staffing or vendor support needed for successful operations. By assisting in space planning, sustainability practices, and safety protocol development, the Assistant Director will play a critical role in maintaining well-functioning, safe, and research-supportive facilities while providing continuity and support for the Dean of Research organization’s broader portfolio of initiatives.
CORE DUTIES:
Oversee the daily operation and management of assigned facilities and programs, including scheduling and assigning work to staff as applicable and coordinating with staff, subcontractors, and/or vendors; coaching lower-level managerial staff; overseeing staffing and performance evaluation of assigned staff; contributing to department or division staffing needs forecast.
Communicate, organize, maintain, develop, and execute strategic and operational safety activities and programs in partnership with EH&S, internal and external school/unit safety partners, lab technicians, and faculty.
Clarify and resolve problems spanning multiple areas or technical fields and/or oversee or develop programs within assigned facilities.
Manage and/or develop budget for area of responsibility as applicable, including staffing, maintenance, contracts, etc.
Manage ongoing service contracts as applicable.
Participate in department/unit strategic management, including making recommendations involving short-term planning for facility-type projects and for longer-range programs/projects; providing input into long-range financial, budgeting, and programmatic planning and development; providing input into the development of policies and procedures; interpret and manage policies and procedures for assigned area.
Oversee and/or monitor project activities; ensure integration with larger unit goals; coordinate with staff, subcontractors, and/or vendors.

MINIMUM REQUIREMENTS: Education & Experience: Bachelor's degree in engineering or other appropriate technical area, or combination of technical education, training, and experience. Two or more years of experience managing facilities operations and maintenance staff in an environment with a variety of building types (administrative offices, classrooms, laboratories, residential & dining facilities, auditoriums, etc.).
Knowledge, Skills and Abilities:
Experience in implementing and supporting safety protocols in research laboratories, with knowledge of chemical, biological, and radiological safety standards.
Knowledge of environmental and occupational safety regulations, fire codes, and university compliance requirements, with ability to conduct inspections and recommend corrective action.
Demonstrated ability to manage facilities projects, including planning, budgeting, scheduling, and contractor/vendor oversight.
Proficiency with building systems (HVAC, electrical, plumbing) and familiarity with Building Management Systems (BMS), CMMS, and IWMS tools.
Strong organizational and project management skills, with ability to coordinate multiple stakeholders and communicate effectively across academic, administrative, and technical groups.
Financial acumen to track project budgets, prioritize resource allocation, and recommend cost-effective solutions.
Ability to partner with Environmental Health & Safety (EH&S) and unit leadership to develop a culture of safety and support business continuity planning.
Demonstrated leadership and interpersonal skills, with experience guiding staff, vendors, and contractors toward successful project and safety outcomes.

Requires 24-hour response availability seven days per week for emergency situations.

Onsite/Hybrid: The expected pay range for this position is $151,297 to $179,501 per annum.
