CARE is seeking a highly motivated and detail-oriented Project Lead (Administrative Associate 4) to provide administrative and operational management of the ADVANCE Project under Principal Investigator Dr. Latha Palaniappan.

About the ADVANCE Project: 

The Accelerate Innovation in Diabetes LeVeraging Unique PAthways iN Asians (ADVANCE) Project focuses on the following key goals:

  1. Establish biobank governance, ethical guidelines, and standard operating procedures for sample processing and storage
  2. Acquire ~10,000 samples from existing biobanks
  3. Develop a digital infrastructure for sample management and data harmonization
  4. Begin research with existing samples using novel and evolving large language models

This project aims to:

  1. Identify new autoantibodies in Asians for type 1 diabetes, and innovative therapeutic targets for Type 1 Diabetes cure.
  2. Identify novel molecular mechanisms for normal weight Type 2 diabetes in Asian populations.
  3. Explore the novel interactions of Type 1 and Type 2 diabetes in Asians.

What You’ll Do:

In this key new role, you will provide excellent administrative and operational support to Dr. Palaniappan and the ADVANCE project team, helping ensure the project stays on track. You will play a critical role in coordinating events for project staff and community engagement, handling procurement and contracting, managing calendars and travel arrangements, reviewing budgets and timelines, and other administrative tasks.

This role will report to the Stanford CARE Associate Director of Operations and will be hybrid based out of Stanford Research Park.

Duties include:

  • Provide support to lead PI, Dr. Palaniappan, to oversee and administratively manage the ADVANCE Project.
  • Organize and coordinate meetings, seminars, and events, managing the scheduling, budgeting, and implementation.
  • Establish and maintain communication with internal and external project stakeholders to facilitate clear and efficient implementation.
  • Work with Stanford CARE’s Community Programs Manager to communicate with external media outlets to facilitate promotion, both in print and digitally.
  • Write and review content for website pages, social media postings, presentations, and reports.
  • Comprehensive administrative support to project leadership including effectively managing scheduling for Dr. Palaniappan.
  • Schedule travel (including conference registration, air and ground travel, hotels) for Dr. Palaniappan, project PIs, and postdocs; including managing all reimbursements.
  • Coordinate and manage complex conferences, seminars, and events from conception to completion.

Selected candidate must be eligible to work in the US. The department will not sponsor work visas. This is a hybrid role. The selected candidate will work from a Stanford work site 2-3 days per week with the option to work from a non-Stanford worksite, such as home, the remaining days of the week.

DESIRED QUALIFICATIONS:

  • Bachelor’s degree or higher.
  • Prior experience supporting a senior faculty in a complex, fast-paced environment.
  • Research administration experience is a plus.
  • High proficiency with common online platforms, such as Box and Google Drive.
  • Experience working in academia and/or a health care environment within a large health system or academic medical center.
  • Ability to work effectively with senior organizational leaders, scientists and faculty.
  • Ability to apply critical thinking to complex challenges to identify and resolve key project issues.

EDUCATION & EXPERIENCE (REQUIRED):

  • High school diploma and six years of administrative experience, or combination of education and relevant experience.

KNOWLEDGE, SKILLS AND ABILITIES (REQUIRED):

  • Advanced computer skills and demonstrated experience with office software and email applications.
  • Proven success in following through and completing projects.
  • Excellent organizational skills and attention to detail.
  • Excellent verbal and written communication skills.
  • Excellent customer service and interpersonal skills.
  • Ability to prioritize, multi-task, and assign work to others.
  • Ability to take initiative and ownership of projects.
  • Ability to routinely and independently exercise sound judgment in making decisions.

PHYSICAL REQUIREMENTS*:

  • Constantly perform desk-based computer tasks.
  • Frequently sitting.
  • Occasionally stand/walk, reach/work above shoulders, grasp lightly/fine manipulation, grasp forcefully, use a telephone, sort/file paperwork or parts, lift/carry/push/pull objects that weigh up to 10 pounds.
  • Rarely twist/bend/stoop/squat, kneel/crawl.

The expected pay range for this position is $44.84 to $50.43 per hour.
