The Department of Pediatrics is seeking an Administrative Division Director to provide strategic direction for the administrative and clinical related functions for the Division of General Pediatrics. The Division’s mission is to improve the health and well-being of all children through cross-disciplinary advancements in patient care, medical education, advocacy & community engagement, and research.  The Division’s mission reflects a shared value of addressing health disparities, with a special emphasis on serving low-income communities and giving every family and child the opportunity to reach their greatest potential.  

The Administrative Division Director has a challenging and rewarding job working with an exceptional group of faculty (approx. 25) and staff in a dynamic and friendly work environment. The position oversees and manages financial and administrative affairs of the Division of General Pediatrics consistent with standards of performance that ensure University, School, LPCH, and department business standards and objectives are met. Assist and advise the Division Chief. Ensure compliance in all functional areas (i.e., Finance, Human Resources, Research Administration, Clinical Administration, Facilities, Health & Safety, Education & Student Affairs, and Faculty Affairs) with applicable School, University, Federal, State, Local, agency, and Hospital/Clinic policies, procedures, laws, etc. Responsible for achieving the goals of both the Department and the Division through effective long-range planning, program development and administration; policy formulation; financial management; supervision of administrative staff; human resources management including health and safety compliance; and space and facilities management.  The duties of this position are typically split between 70% operational and 30% strategic. Typically responsible for operating budgets of approx. $10M.

Duties include:

 

·         Direct staff and provide leadership to achieve goals and vision of the division and the day-to-day operations. Responsible for hiring and retaining staff, career coaching, personal development for direct reports and accountable for the performance of employees.

·         Establish and manage clinical programs which may include outreach agreements and recruiting for new faculty, clinical educators, and instructors. Provide financial leadership to clinical programs to maximize clinical profitability. May establish measuring systems and tools to determine productivity of outreach agreements.

·         May partner with Chief and DFA in working with Hospital(s)and Clinics in development of business and program planning; participate in the negotiation of and monitor funds flow and productivity targets. Recommend and develop strategies for clinical cost accounting, revenue management and productivity reporting.

·         Represent the division’s needs in regard to research, clinical and service facilities, may negotiate on behalf of the unit’s current and future needs with the school and hospital(s)/clinic administration.

·         May independently or in collaboration with human resources managers, guide faculty supervisors in the interpretation and implementation of human resources policies, procedures and programs.

·         Develop business plans and infrastructure to support research and teaching. Provide analysis and review of multi-year plans, including providing alternative methods for achieving goals when necessary. Influence Chief and/or DFA on specific recommendations for current operation and for future development of the division and lead process improvement.

·         Interpret, implement and ensure compliance with university clinical and administrative policies and procedures within the division. Recommend new internal policies, guidelines and procedures.

·         Oversee and/or manage the finances across all sources for the annual budget cycle, including developing, monitoring, analyzing forecasting and reporting. Coordinate with the hospital(s) budgeting process, negotiate funds flow agreements. May negotiate funding with the hospital(s) for programmatic needs along with the DFA.

·         Manage and coordinate grants and contracts for the division. Ensure compliance with institutional and external requirements.

·         Oversee the management of all student, fellow, residency related activities and graduate program administration.

·         Make recommendations for changes in staffing, facilities, health and safety compliance, finance, technology and/or administrative functions. Work with the DFA, Chief, Chair and /or Dean's Office regarding resources to support faculty activities and interests.

DESIRED QUALIFICATIONS:

  

EDUCATION & EXPERIENCE (REQUIRED):

 

Bachelor’s degree and four years of experience in administrative and financial management, or a combination of education and relevant experience.

·         Strong knowledge of industry standards and/or regulatory requirements.

·         Subject matter expertise for area(s) of responsibility.

·         Ability to multi-task and manage deadlines.

 PHYSICAL REQUIREMENTS*:

 

·         Constantly perform desk-based computer tasks.

·         Frequently sitting.

·         Occasionally stand/walk, writing by hand, use a telephone, lift/carry/push/pull objects that weigh 11-20 pounds.

·         Rarely sort/file paperwork or parts, rarely twist/bend/stoop/squat.

Stanford University provides pay ranges representing its good faith estimate of what the University reasonably expects to pay for a position. The pay offered to a selected candidate will be determined based on factors such as (but not limited to) the scope and responsibilities of the position, the qualifications of the selected candidate, departmental budget availability, internal equity, geographic location and external market pay for comparable jobs. The pay range for this position working in the California Bay area is between $134,823 to $162,286 based on commensurate experience and background.
